10 Lakh Government Devices, 1.5 Lakh Repair Tickets, One Asset Portal

The problem

Andhra Pradesh equipped its 15,004 village and ward secretariats with more than 10 lakh devices (over a million): computers, printers, biometric readers and network equipment, used to deliver citizen services at the doorstep across 26 districts. Keeping that estate working needed one system of record for devices, faults, vendors and approvals.

Device issues were reported by phone call and spreadsheet. Vendors under annual maintenance contracts could not be held to their service levels, district and state officials had no reliable picture of device health or repair backlogs, and repairs with a cost were slow to approve because the evidence lived in several places. The state needed IT asset management software built for a public estate of this size.

Phone calls and spreadsheets

  • Faults reported by phone and spreadsheet
  • Vendor service levels that could not be enforced
  • No picture of device health or repair backlog
  • Repair approvals waiting on paper evidence

One portal for every device

  • Every device registered by secretariat, with its history
  • Tickets from 30,000+ users, worked by vendors in their own logins
  • District approvals with the evidence on the ticket
  • A state dashboard of device health and resolution

What we built

  • Asset registry

Every device by secretariat, with its issue, transfer, repair and replacement history, searchable across the state.

  • Ticketing for 30,000+ users

Secretariat staff report faults and damage; 1.5 lakh tickets have been recorded and tracked to closure.

  • Vendor workspaces

Maintenance vendors analyse, resolve and update each ticket in their own logins, so service is visible against the contract.

  • Approvals and dashboards

District approval for repairs with a cost, and a state dashboard of device health, ticket ageing and resolution.
